Newton Mail is an email app for Gmail, Outlook, iCloud and other IMAP accounts on Mac, Windows, Linux, iPhone, iPad and Android. Last updated: 2026-10-25 ## What is Newton? URL: https://newtonhq.com/help/getting-started/what-is-newton Topic: Getting started Works on: Mac, Windows, Linux, iPhone, iPad, Android Last updated: 2026-10-25 Newton is an email app for the email accounts you already have. It brings them together in one inbox on your Mac, Windows or Linux computer, iPhone, iPad and Android phone. You can use Newton for free; Recap needs Newton Pro. ### How it works - **Your mail stays with your provider.** Newton works with Gmail and Google Workspace, Outlook, Hotmail and Microsoft 365, iCloud, Yahoo, AOL, Fastmail, Zoho, GMX and other IMAP accounts. Newton shows and sends your mail, and your provider still keeps it. - **One Newton account.** You sign in to Newton, then add your email accounts. Your accounts, settings and signatures come with you to every device where you sign in. - **Tools for your inbox.** Read receipts tell you when someone opens your email. Snooze hides an email until later. Send later schedules an email. Tidy Inbox moves promotions and social mail into Low Priority. Recap gives you a daily list of emails that need a follow-up. - **AI when you ask for it.** Write with AI drafts or rewrites an email for you, and you can connect Newton to Claude or ChatGPT. To get started, download Newton, create your Newton account and add your email accounts. _Video: Newton's unified inbox on a Mac and an iPhone, showing mail from a personal and a work account, each in its own color_ ### Good to know - Newton doesn't support POP accounts or on-premise Exchange servers. Exchange Online works through Microsoft sign-in. - The desktop apps can do more than the mobile apps today. For example, the Agent is desktop-only. - [account.newtonhq.com](https://account.newtonhq.com) is for your account and settings. There's no web version for reading mail. - Newton needs an internet connection to sync, send and search. Once it's installed, you sign in or create your Newton account. ### Steps #### Desktop 1. On your computer, open [account.newtonhq.com/get-the-app](https://account.newtonhq.com/get-the-app). 2. Click **Mac**, **Windows** or **Linux**. 3. Install Newton. On a Mac, open the downloaded .dmg file and drag Newton into Applications. On Windows and Linux, the button opens the Microsoft Store or the Snap Store, so install Newton from there. 4. Open Newton and click **Continue** after the introduction. 5. Sign in to your Newton account, or click **Sign up** to create one. _Video: The Get the Newton app page at account.newtonhq.com/get-the-app, with the Mac, Windows and Linux download buttons highlighted_ #### iPhone, iPad & Android 1. Open [Newton Mail on the App Store](https://apps.apple.com/us/app/newton-mail-email-app/id721677994) on an iPhone or iPad, or [Newton on Google Play](https://play.google.com/store/apps/details?id=io.pixer.newton) on Android. 2. Install the app. 3. Open Newton. 4. Tap **Get Started** to create your Newton account, or **I already have a Newton account** to sign in. ### Good to know - The Mac app runs on Macs with Apple silicon or Intel. - You can also install Newton on Windows without the Microsoft Store, with the installer at [account.newtonhq.com/download/win](https://account.newtonhq.com/download/win). If Windows blocks the installer, use the Microsoft Store instead. - Newton on Mac and the Windows installer version show a banner when an update is ready. The Microsoft Store and Snap versions update through their stores. - After each update, Newton downloads your mail again. This can take a few minutes. Your email accounts, such as Gmail, Outlook or iCloud, are the mailboxes you add to it. One Newton account can hold many email accounts, and they appear on every device where you sign in. ### How it works - **Your Newton account** is your login. You sign in with an email address and password, or with Google, Microsoft or Apple. On phones, Apple sign-in is available on iPhone and iPad. - **Your email accounts** are the mailboxes Newton shows you. You add them after you sign in, and you can add more at any time. - **Signing up** with Google or Microsoft creates your Newton account and adds that mailbox in one step. Signing up with Apple or an email address creates only the Newton account, and Newton then asks you to **Select your email provider**. - **Signing in** with Google or Microsoft on a computer or at [account.newtonhq.com](https://account.newtonhq.com) only signs you in. It doesn't add a mailbox. - On iPhone, iPad and Android, the **Google** and **Microsoft** buttons sign you in and connect that mailbox at the same time. _Video: One Newton account, your login, connected to three email accounts: Gmail, Outlook and iCloud. A Mac, an iPad and an iPhone each show the same three accounts._ ### Good to know - Sign in the same way each time. If you choose a different Google, Microsoft or Apple account, Newton creates a new, empty Newton account. - If your Newton account uses Google, Microsoft or Apple, it has no password. Signing in with an email and password shows "This account uses Google, Microsoft or Apple Sign-In." Use that button instead. - To sign in with a different address, go to [account.newtonhq.com](https://account.newtonhq.com) › **Profile** › **•••** › **Change Login Email**. You can pick any email account you've connected. - Removing an email account doesn't delete your Newton account, and logging out doesn't remove your email accounts. Newton then downloads your mail again from your email provider. ### Steps #### Desktop 1. Install Newton. See [Download and install Newton](https://newtonhq.com/help/getting-started/download-and-install-newton). 2. Open Newton and click **Continue** after the introduction. 3. On **Sign in to Newton**, sign in the same way you did before: with your email and password, or with **Continue with Google**, **Continue with Microsoft** or **Continue with Apple**. 4. Check your email accounts under **Connected Account**, then click **Continue**. _Video: Newton's Connected Account screen on a new computer, listing two restored email accounts, with Add Account and Continue below. Continue is highlighted._ #### iPhone, iPad & Android 1. Install Newton from the App Store or Google Play. 2. Open Newton and tap **I already have a Newton account**. 3. Sign in the same way you did before: **Sign in with Apple** (iPhone and iPad), **Google**, **Microsoft** or **Log in with email**. 4. Check your email accounts under **Connected Accounts**, then tap **Continue**. ### Good to know - You don't need to sign in to Gmail, Outlook or your IMAP accounts again. Newton restores them for you. - Downloading your mail takes a few minutes. Your newest mail comes first. - If Newton asks you to **Select your email provider** instead of showing your accounts, you've signed in to a different Newton account. Log out, then sign in the way you did before. - Allowing notifications, and app lock on phones, are set on each device. You can keep using Newton on your old device too. Your old Newton account and mail didn't carry over, so you start with a new Newton account and add your email accounts again. ### How it works - **Who runs Newton.** This isn't a new company or a new team using the old name. It's a relaunch by the people who already owned Newton. - **Why it shut down before.** Newton shut down in 2018, 2020 and 2024. Each time the cause was the same: the old service ran heavy servers that cost more than the app earned. The new Newton keeps its servers small, and subscriptions cover what it costs to run. That isn't a guarantee, but the thing that closed Newton before is no longer how it works. - **Your old account and mail.** Mail data was deleted when Newton shut down, for privacy reasons. Your old login, settings and signatures aren't in the new Newton. - **What's familiar, and what's new.** Read receipts, Snooze, Send later and the unified inbox are back. New are Recap, Tidy Inbox, a Linux app, and connecting Newton to Claude or ChatGPT. On desktop, the Agent answers questions about your mail using your own Claude Code. To start again, install Newton, tap **Get Started** on a phone or click **Sign up** on a computer, and add your email accounts. _Video: Newton's first screen on iPhone: Newton supercharges your email, with Get Started highlighted and I already have a Newton account below it_ ### Good to know - Your mail at Gmail, Outlook, iCloud and other providers wasn't affected. Newton only deleted its own copy. - The desktop apps can do more than the mobile apps today, so some features reach your computer first. - If you paid for the old Newton, see I had a subscription with the old Newton. Each account below it has its own folders. - **Pinned tabs:** the tabs at the top are folders you've pinned. Hover over a folder in the sidebar and click **Pin to header** to add one. - **Top right:** buttons to write a new email and to open Pulse, your activity feed. Click your profile picture for **Add Account**, **Settings** and **Log Out**. - **Settings:** press ⌘, on Mac, or Ctrl+, on Windows and Linux. The tabs are **Profile**, **Accounts**, **General**, **Supercharge** and **About**. - **Keyboard:** press ? to see every shortcut, or ⌘K (Ctrl+K on Windows and Linux) to open the command bar. - **Help:** the Help button in the bottom-right corner opens the Help center and lets you contact us. _Video: Newton's desktop window: the sidebar with folders for all accounts and each account below, pinned tabs at the top, compose, Pulse and profile buttons at the top right, and the Help button at the bottom right_ #### iPhone, iPad & Android - **Menu:** tap the menu button at the top left. When you have two or more accounts, **Inbox** at the top shows them all together. Below it are your other folders and each of your accounts. - **Bottom bar:** up to 4 pinned labels. Tap one to switch. Tap ⇅ to see all your pins and **Edit pinned labels**. - **Emails:** by default, swipe left to archive and right to delete. Long-press an email for more actions, including **Select**. - **Search** is at the top right, and the compose button floats over the list. - **Settings:** open the menu and tap the **Settings** gear at the bottom. **Supercharge** holds Read receipts, Recap, Snooze, Tidy Inbox, Templates and MCP Server. _Video: Newton on iPhone: the open menu with Inbox and folders at the top, your accounts below and the Settings gear at the bottom; and the inbox with search at the top right, the pinned labels bar with the up-down button, and the compose button_ ### Good to know - Low Priority appears in the folder list only when Tidy Inbox is on. - Your pins and folder order sync across your devices. - On phones, the combined inbox is called Inbox. On a computer, it's the Inbox under All Accounts. - The desktop app has a few features the mobile apps don't have yet, such as the Agent and Pulse. URL: https://newtonhq.com/help/email-accounts/which-email-accounts-work-with-newton Topic: Email accounts Works on: Mac, Windows, Linux, iPhone, iPad, Android Last updated: 2026-10-25 Newton works with Gmail and Google Workspace, Outlook, Hotmail and Microsoft 365, and any mailbox you can reach over IMAP, such as iCloud, Yahoo, AOL, Fastmail, Zoho and GMX. It doesn't support POP, or Exchange servers that your organization runs itself. ### How it works | Your email | How you connect it | Where you can add it | | --- | --- | --- | | Gmail and Google Workspace | Sign in with Google | Desktop, mobile and web | | Personal Outlook, Hotmail and Live accounts | Sign in with Microsoft | Desktop, mobile and web | | Microsoft 365, including Exchange Online | Sign in with Microsoft | Desktop, mobile and web | | iCloud, Yahoo, AOL, Fastmail, Zoho and GMX | Email address and password. Newton fills in the server settings. | Desktop and mobile | | Any other mailbox with IMAP | Email address, password and server settings | Desktop and mobile | iCloud, Yahoo, AOL and Fastmail need an app-specific password instead of your normal password. Newton doesn't support: - POP accounts. - Exchange servers that your organization runs on its own servers. If the server has IMAP turned on, you can add the account with IMAP instead. _Video: Newton's Select your email provider screen on iPhone: a white card listing Google, Outlook, Microsoft 365, iCloud, Yahoo! and IMAP with their logos_ ### Good to know - You add an account once. It shows up on every device where you sign in to Newton. - Some features depend on the provider. Filters work with Gmail and Outlook only, and only Gmail aliases sync from the provider. Tidy Inbox sorts Gmail and Outlook mail automatically; for IMAP accounts it uses only your sender rules. - The calendar in the desktop app works with Google accounts only. - In the mobile app, the Free plan includes two accounts. Adding a third there needs Newton Pro. You can also open **Settings** › **Accounts** and click **+** below the account list. 2. Choose **Google** for Gmail and Google Workspace, **Outlook** for a personal Outlook or Hotmail account, or **Microsoft 365** for a work or school Microsoft account. 3. Click **Proceed in Browser**. 4. Sign in to the account in your browser and allow access. 5. When the page says the account is connected, click **Open Newton**. Sign in to the account and allow access. You're brought back to **Accounts**. ### Good to know - In the mobile app, the Free plan includes two accounts. Adding a third there needs Newton Pro. - If you created your Newton account with Google or Microsoft, that mailbox was added at the same time. Signing in to an existing Newton account with Google or Microsoft doesn't add a mailbox. - You add an account once. It shows up on every device where you sign in to Newton, without signing in to Google or Microsoft again. - Work and school accounts are controlled by your organization. If one won't connect, your IT admin may need to allow Newton. You can add it in the desktop and mobile apps, but not on the web. ### Steps First, create an app-specific password for Newton. See [Create an app-specific password](https://newtonhq.com/help/email-accounts/create-an-app-specific-password). #### Desktop 1. Click your avatar in the top-right corner and choose **Add Account**. 2. Choose **iCloud**. 3. Enter your iCloud address under **Email address**. 4. Paste the app-specific password into **Password**. **Display name (optional)** is the name Newton shows for this account. 5. Click **Test connection**. When it says **Connected**, click **Connect**. _Video: Newton's Connect your iCloud account form on desktop, with iCloud Mail chosen under Provider, the app-password hint under Password, and the Test connection and Connect buttons highlighted_ #### iPhone, iPad & Android 1. Open the menu and tap the **Settings** gear at the bottom. 2. Tap **Accounts** › **Add account** › **IMAP (iCloud, Yahoo…)**. 3. Tap **iCloud Mail**. 4. Enter your iCloud address under **Email** and the app-specific password under **Password**. 5. Tap **Add account**. Setting up Newton for the first time? Tap the **iCloud** tile, enter your email address and app password, and tap **Add Account**. The **Open iCloud Mail account settings** link on that screen opens your Apple Account page, where you create the password. ### Good to know - Apple only lets you create app-specific passwords when two-factor authentication is on for your Apple Account. - Newton fills in iCloud's server settings for you: `imap.mail.me.com` (port 993, SSL/TLS) for incoming mail and `smtp.mail.me.com` (port 587, STARTTLS) for outgoing mail. - Newton stores the password encrypted on its servers, so your other devices can connect without asking for it again. - In the mobile app, the Free plan includes two accounts. Yahoo, AOL and Fastmail need an app password instead of your normal password. ### Steps Before you start: - **Yahoo, AOL or Fastmail:** create an app password for Newton. See [Create an app-specific password](https://newtonhq.com/help/email-accounts/create-an-app-specific-password). - **Zoho:** turn on IMAP access in your Zoho Mail settings ([Zoho's instructions](https://www.zoho.com/mail/help/imap-access.html)). #### Desktop 1. Click your avatar in the top-right corner and choose **Add Account**. 2. For Yahoo, choose **Yahoo!**. For AOL, Fastmail, Zoho or GMX, choose **IMAP (other)**, then pick your provider from the **Provider** menu. 3. Enter your **Email address** and **Password**. Use the app password for Yahoo, AOL and Fastmail. 4. Click **Test connection**. When it says **Connected**, click **Connect**. #### iPhone, iPad & Android 1. Open the menu and tap the **Settings** gear at the bottom. 2. Tap **Accounts** › **Add account** › **IMAP (iCloud, Yahoo…)**. 3. Tap your provider: **Yahoo Mail**, **AOL Mail**, **Fastmail**, **Zoho Mail** or **GMX**. 4. Enter your **Email** and **Password**. Use the app password for Yahoo, AOL and Fastmail. 5. Tap **Add account**. Setting up Newton for the first time? Only Yahoo has its own tile. For the others, tap **IMAP** and type the incoming server from the table below. Newton fills in the outgoing server for you. _Video: Newton's Add account IMAP screen on Android, with the provider chips, Fastmail selected and its app-password hint above Email and Password_ ### Good to know - These are the settings Newton fills in, in case you need to check them: | Provider | Incoming (IMAP) | Outgoing (SMTP) | | --- | --- | --- | | Yahoo | `imap.mail.yahoo.com` · 993 · SSL/TLS | `smtp.mail.yahoo.com` · 465 · SSL/TLS | | AOL | `imap.aol.com` · 993 · SSL/TLS | `smtp.aol.com` · 465 · SSL/TLS | | Fastmail | `imap.fastmail.com` · 993 · SSL/TLS | `smtp.fastmail.com` · 465 · SSL/TLS | | Zoho | `imap.zoho.com` · 993 · SSL/TLS | `smtp.zoho.com` · 465 · SSL/TLS | | GMX | `imap.gmx.net` · 993 · SSL/TLS | `mail.gmx.net` · 587 · STARTTLS | - If you use two-factor authentication with Zoho, Zoho may ask for an application-specific password instead of your normal one. - Newton stores the password encrypted on its servers, so your other devices can connect without asking for it again. - In the mobile app, the Free plan includes two accounts. Adding a third there needs Newton Pro. Open your provider's instructions from the list below. 2. Follow them to create a new app password. If you're asked for a name, use one you'll recognize, like "Newton". 3. Copy the password. 4. In Newton, paste it into the password field when you add the account, instead of your normal password. Your provider's instructions: - **iCloud:** [Sign in to apps with your Apple Account using app-specific passwords](https://support.apple.com/en-us/102654) - **Yahoo:** [Generate and manage third-party app passwords](https://help.yahoo.com/kb/SLN15241.html) - **AOL:** [Create and manage third-party app passwords](https://help.aol.com/articles/Create-and-manage-app-password) - **Fastmail:** [App passwords](https://www.fastmail.help/hc/en-us/articles/360058752854-App-passwords) Setting up Newton on a phone for the first time? See [Zoho's instructions](https://www.zoho.com/mail/help/imap-access.html). - If you delete the app password at your provider, Newton can't connect to that account anymore. Create a new one and reconnect the account. - Newton stores the password encrypted on its servers, so your other devices can connect without asking for it again. You enter the incoming (IMAP) and outgoing (SMTP) server settings yourself; your provider's help pages list them. ### Steps #### Desktop 1. Click your avatar in the top-right corner and choose **Add Account**. 2. Choose **IMAP (other)**. 3. Enter your **Email address** and **Password**. **Display name (optional)** is the name Newton shows for this account. 4. Under the server settings, enter the **IMAP host**, **Port** and **Security** for incoming mail. 5. Check **Username**. It's usually your email address. 6. Enter the **SMTP host (outgoing mail)**, **SMTP port** and **SMTP security**. 7. Click **Test connection**. When it says **Connected**, click **Connect**. _Video: Newton's Connect via IMAP form on desktop with Custom (IMAP) chosen, the server settings showing, and Connected, 12 folders found above Test connection and Connect_ #### iPhone, iPad & Android 1. Open the menu and tap the **Settings** gear at the bottom. 2. Tap **Accounts** › **Add account** › **IMAP (iCloud, Yahoo…)**. 3. Tap **Custom**. 4. Enter your **Email** and **Password**. 5. Under **INCOMING MAIL SERVER**, enter the **Host** and **Port**. Fill in **Username (if different from email)** only if your provider asks for it. 6. Under **SECURITY**, choose **SSL/TLS**, **STARTTLS** or **None**. 7. Under **OUTGOING MAIL SERVER**, enter the **Host** and **Port**, then choose **OUTGOING SECURITY**. 8. Tap **Add account**. Newton checks the settings before adding the account, and says **Could not connect** if something's wrong. Setting up Newton for the first time? Tap the **IMAP** tile. The same fields appear under **Server settings**. ### Good to know - These are the usual ports. Make sure the port matches the security you choose: | Security | Incoming (IMAP) | Outgoing (SMTP) | | --- | --- | --- | | SSL/TLS | 993 | 465 | | STARTTLS | 143 | 587 | - When you type the incoming server, Newton fills in a matching outgoing server, often by swapping `imap.` for `smtp.`. Check it against your provider's settings. - Avoid **None** for security if your provider offers SSL/TLS or STARTTLS. With **None**, your password and mail travel unencrypted. - IMAP accounts don't get filters, alias sync or team shared inboxes, and Newton stores the password encrypted on its servers so your other devices can connect. If a Microsoft 365 or Google Workspace account won't connect, check these causes in order. ### Try these, in order 1. **Use the right sign-in.** For Microsoft 365, including Exchange Online, choose **Microsoft 365** or **Outlook** on desktop, or **Outlook** in the mobile app. For Google Workspace, choose **Google** on desktop or **Gmail** in the mobile app. 2. **Look at what the sign-in page says.** If your organization hasn't approved Newton, Microsoft's or Google's sign-in page stops you before you can allow access and shows its own message. When you leave that page, Newton reports **Microsoft sign-in was cancelled.** (or **Google sign-in was cancelled.**). You see the same message if you close the sign-in yourself, so it doesn't tell you which happened. On desktop it appears in your browser under **We couldn't verify your account**. In the mobile app, the browser just closes and no account is added. 3. **Ask your IT admin to allow Newton.** Admins can approve Newton for you or for everyone in the organization. Tell them which permissions Newton asks for (listed under Good to know). 4. **Check where your mailbox lives.** If your organization runs its own Exchange server instead of Microsoft 365, Microsoft sign-in can't reach your mail. Ask your admin whether IMAP is turned on. If it is, add the account with IMAP using the server settings they give you. 5. **Try again once Newton is approved.** Add the account again. On desktop, **Try again** on the browser page restarts the sign-in. _Video: The browser page We couldn't verify your account, with the message Microsoft sign-in was cancelled and the Try again button_ ### Good to know - Newton asks Microsoft (Microsoft Graph) for `Mail.ReadWrite`, `Mail.Send`, `MailboxSettings.ReadWrite`, `User.Read` and `offline_access`. - Newton asks Google for full Gmail access (`https://mail.google.com/`), `gmail.modify`, `gmail.readonly` and `gmail.settings.basic`, plus your basic profile and email address. It asks for calendar access only if you turn on the calendar in the desktop app. - If Newton says **Microsoft sign-in failed** followed by a code in brackets, send that code to your admin. It's Microsoft's reason for stopping the sign-in. - Newton can't get around your organization's rules. Only your admin can change them. Set the address up with your email provider first: Newton can't create aliases on its own. Gmail aliases come in from Gmail; for Outlook and IMAP accounts you add them by hand on desktop or the web. ### Steps #### Desktop 1. Open **Settings**: press ⌘, on Mac, or Ctrl+, on Windows and Linux. 2. Go to **Accounts**, select the account and click **Manage Aliases**. 3. For a Gmail account, click **Sync** next to **Sync from Server** to bring in the addresses set up in Gmail. 4. To add an address by hand, click **New Aliases**, enter a **Name** and **Email**, and click **Save Aliases**. To rename or remove an alias, click its **•••** menu and choose **Edit** or **Delete**. _Video: Newton desktop Settings, Accounts, Aliases for a Gmail account, showing Sync from Server with its Sync button, the New Aliases button and two aliases_ #### iPhone, iPad & Android 1. Open the menu and tap the **Settings** gear at the bottom. 2. Tap **Accounts**, tap the account, then tap **Aliases**. 3. For a Gmail account, tap **Sync** to bring in the addresses set up in Gmail. 4. To change the name an alias sends under, tap its name and type a new one. It saves when you leave the field. You can't add or delete aliases in the mobile app. Use desktop or the web. #### Web 1. Sign in at [account.newtonhq.com](https://account.newtonhq.com) and open **Accounts**. 2. Select the account and click **Manage Aliases**. 3. For a Gmail account, click **Sync** to bring in the addresses set up in Gmail. 4. To add an address by hand, enter a **Name** and **Email** at the bottom of the list and click **Create**. Click **Delete** to remove one. To send from an alias, click the sender address at the top of the compose window on desktop, or tap it on mobile to open **Send from**, and choose the alias. ### Good to know - When you reply to an email that was sent to one of your aliases, Newton sends the reply from that alias automatically. - Newton doesn't check addresses you add by hand, so make sure your provider lets you send from them. - Gmail aliases don't update by themselves. Tap or click **Sync** again after you change them in Gmail. - Signatures are set per account, not per alias. Next to **Account color**, click a color. ### Good to know - The display name shows in the sidebar and throughout the app. The sender name is what recipients see in the From line. - An alias can have its own name. When you send from an alias, its name is used instead of the sender name. - On desktop, clear the display name and save to go back to the name that came with the account. - A team shared mailbox's name and color are set by a team admin and apply to everyone on the team. Go to **Accounts** and select the account. 3. Click the trash icon below the account list. 4. In **Remove account?**, click **Remove**. _Video: Newton desktop Settings, Accounts with the Remove account? dialog open and the Remove button highlighted_ #### iPhone, iPad & Android 1. Sign in at [account.newtonhq.com](https://account.newtonhq.com) and open **Accounts**. 2. Select the account. 3. Click **Remove Account** at the bottom, then confirm. ### Good to know - Emails you scheduled from that account are cancelled, and its read-receipt history is deleted. - For Gmail, removing the account also removes Newton's access in your Google account. Microsoft doesn't let Newton do that, so for Outlook, also remove Newton in your Microsoft account. - The mobile app can't remove your only account. Log out instead. - A team shared mailbox can't be removed from the apps. A team admin detaches it from the team in the web portal. The folders at the top of the desktop sidebar, and at the top of the menu on your phone, combine every account: Inbox, Unread, Starred, Sent and the rest. On a phone it's simply called **Inbox**. To see one account on its own, open it under **All Accounts** in the desktop sidebar, or under **Accounts** in the phone menu. On desktop, ⌘1 to ⌘9 (Ctrl+1 to Ctrl+9 on Windows and Linux) open each account's Inbox, and ⌘0 (Ctrl+0) brings you back to the unified inbox. ### Steps To leave an account out of the unified inbox: #### Desktop 1. Open **Settings**: press ⌘, on Mac, or Ctrl+, on Windows and Linux. 2. Go to the **Accounts** tab and select the account. 3. Under **Unified Inbox**, switch off **Show in Unified Inbox**. _Video: Newton's desktop Settings, Accounts tab, with the Personal account selected and scrolled to the Unified Inbox section, where Show in Unified Inbox is switched off_ #### iPhone, iPad & Android 1. Switch off **Show in Unified Inbox**. _Video: Newton on iPhone with the menu open: the combined Inbox and the other folders for all accounts at the top, and the Accounts list with each email account below them_ Switch it back on the same way. The setting is saved to your Newton account, so it applies on all your devices. ### Good to know - A hidden account keeps working. Its own folders, search and notifications don't change; its mail just stays out of the combined folders and the unread badge. - The unified Inbox names any hidden accounts at the bottom of the list. Click or tap **Manage** there to change the setting. - The unified folders appear only while at least two accounts are included. With one account, its folders sit at the top instead, and the switch isn't shown. - Labels and folders you create, and Gmail's Promotions and Social, appear only under their own account, not in the unified folders. Label icons are a Newton extra and show on all your devices. - Deleting a Gmail label keeps the emails. It can't be undone. - Emptying the combined Trash or Spam empties it for every account in your unified inbox. For Outlook accounts, Newton searches only the Inbox. - IMAP accounts understand `from:`, `to:`, `subject:`, `is:`, `has:attachment`, `in:`, `before:`, `after:`, `older_than:` and `newer_than:`. Other operators search for the word as plain text. On a phone, an IMAP search looks in up to 10 folders. - Trash and Spam aren't searched unless you add `in:trash` or `in:spam`. Very long messages are only partly translated. - The translation is plain text, so bold, links, tables and images aren't kept. - Translation uses AI: Newton sends the text of the message to its AI service. If it still fails, it stays in Scheduled marked as failed (**Couldn't send** on your phone), and Pulse on desktop tells you. Use **Send now** or **Edit** to try again. - If sending was interrupted and the email may already have gone out, Newton won't send it again on its own. You can remove the addresses before you send. It isn't added to replies or forwards. - The "Sent via Newton Mail" line is added when the email is sent, so you won't see it while you write. It goes under your message, above any quoted earlier messages. - Both settings apply on all your devices. On a shared team mailbox, a team admin sets them. In Supercharge you can change the time behind each snooze option. [Snooze an email](https://newtonhq.com/help/supercharge/snooze-an-email) **Tidy Inbox** keeps promotions, social updates and Outlook's "Other" mail out of your Inbox, in Low Priority. You set it per account, and you can choose senders that always go to one or the other. [Tidy Inbox and Low Priority](https://newtonhq.com/help/supercharge/tidy-inbox-and-low-priority) **Templates** save emails you write often, so you can insert them while you compose. The eye is highlighted when read receipts are on for that email. _Video: Two iPhones: Settings, Supercharge, Read receipts with Enable read receipts by default switched on; and a new email in compose with the eye button highlighted in the toolbar at the bottom_ ### Good to know - Read receipts work with Gmail, Outlook and IMAP accounts. - With Outlook accounts you see whether the email was opened, but not which recipient opened it. - Some mail apps, such as Apple Mail, load images automatically. An email can show as **Seen** before anyone has actually read it. - Newton never shows you where a recipient was when they opened your email. Usually that means they opened your email, but not always. ### How it works - In your email list, a double tick appears next to an email you sent with read receipts. It's gray until someone opens the email, then it changes color. On desktop, point at it to see **Opened** or **No opens yet**. - In the conversation, click or tap the tick next to your message to see who opened it and when: the **Read Status** tab on desktop, or the **Read receipts** tab on your phone. It reads **Not yet seen**, **Seen once** or **Seen 3 times**, and lists anyone who hasn't opened it as **Not opened**. - Opens by the same person less than 10 minutes apart count as one. - A reply from a recipient counts as opened, even if their mail app never loaded the image. - Newton ignores opens by bots and security scanners. It also ignores opens from the same internet connection as your own Newton devices, so a colleague on your office network may show as **Not opened**. _Video: How a read receipt works, left to right: you send an email with read receipts on, Newton adds a tiny image to it, the recipient's mail app loads the image, Newton records an open, and the tick in your list turns from gray to blue. Below, two exceptions: Apple Mail Privacy Protection loads images by itself so the email shows as Seen even if unread; and when images are blocked no open is recorded, so it stays Not opened._ ### Good to know - Some mail apps, such as Apple Mail with Mail Privacy Protection, load images automatically. An email can show as **Seen** before anyone has read it. - If a recipient's mail app blocks images, Newton can't see the open, so the email stays **Not opened** even after they read it. - With Outlook accounts, Newton can't tell which recipient opened the email. When you send to several people, only the first recipient is listed, and an open by anyone shows there. - The list tick describes only the newest message in a conversation. Once someone replies, the tick leaves that row. For earlier emails, use **Notify me when opened**. - You get one notification each time someone starts reading. Opens less than 10 minutes apart count as one. - The desktop app notifies you only while it's running. The Pulse list of opens is on desktop only for now. On your phone, tap an email's tick to see who opened it. - Some mail apps load images automatically, so you may be notified before anyone has read the email. Newton shows you only who opened your email and when, never a recipient's location or IP address. ### How it works - Read receipts are off until you turn them on, for every email or for one email at a time. - With Gmail and IMAP accounts, each recipient gets a copy with their own image, so Newton can tell who opened it. With Outlook accounts, everyone shares one image. - Newton doesn't send your recipients any notice or request. - When a recipient's mail app loads the image, Newton's server records the time, plus the IP address and app details that come with the request. Newton uses these to filter out bots, security scanners and your own opens. They aren't shown in the Newton apps. - Newton deletes open records after 180 days, and right away when you remove that email account from Newton or delete your Newton account. _Video: Two boxes. No location anywhere._ ### Good to know - A recipient whose mail app blocks images isn't tracked, because the image never loads. - Reading your own sent email in Newton doesn't count as an open. - Newton also blocks tracking images in email you receive, unless you turn off **Block tracking pixels**. URL: https://newtonhq.com/help/supercharge/what-is-recap Topic: Supercharge Works on: Mac, Windows, Linux, iPhone, iPad, Android Last updated: 2026-10-25 Recap is a daily list of emails that may need your attention: replies you owe, emails that never got an answer, and dates coming up. Recap needs Newton Pro. ### How it works - Once a day, at the time you choose (7:00 by default), Newton looks through your recent mail and builds your Recap. Open it from **Recap** in the sidebar on desktop (or press 0), or from the menu on your phone. - Each conversation appears once, in one of four groups: - **No reply yet**: you sent the last message 3 to 14 days ago, and it asked the other person to reply, decide or send something. - **Waiting on you**: someone wrote to you 1 to 14 days ago and is waiting for your reply. - **Coming up**: an email from the past week mentions a date, such as a booking, a due date or a reminder. It shows from 3 days before the date until the day itself. - **Starred, still open**: you starred it, and the other person sent the last message 2 to 30 days ago. - A short line with each group says why, such as "Sam is waiting for your reply". - On your phone, Recap can send you one notification a day. _Video: Newton's Recap view on a Mac: emails grouped by why they need attention, each group with a grey reason line under it: No response. Follow up?; Priya asked for the slides; Sam is waiting for your reply; Pick up your library hold Friday; Starred and still open. Hovering Sam's email shows Later and Done; clicking Done removes it and shows Dismissed._ ### Good to know - Recap replaces the old Today view. - Recap is off until you turn it on. It covers your personal accounts, not team mailboxes. - To sort your mail, Newton's AI reads the newest part of each candidate email, as plain text, up to 2,000 characters. - If you don't open Recap for 14 days, it stops updating until you open it again. On Newton Free, both places offer an upgrade instead. ### Good to know - The days and time decide when Recap updates, not just when it notifies. Recap follows your device's time zone. - **For** and the account switches only change which accounts the notification covers. The Recap list still includes all your personal accounts. - The daily notification goes to your phone. On desktop, a dot on **Recap** in the sidebar shows when something new arrives. - Your first Recap can take a few minutes to prepare, and it doesn't send a notification. You'll find **Low Priority** in the sidebar on desktop and in the menu on your phone. When it has unread mail, a bar at the top of your Inbox shows how many. ### Good to know - Nothing changes in Gmail itself. In Outlook, moving a sender also updates Focused Inbox, so Outlook on the web follows it. - Low Priority mail doesn't send notifications. - A conversation stays in your Inbox if any message in it isn't low priority, such as a reply from a person. - IMAP accounts, such as iCloud or Yahoo, aren't sorted automatically, but **Move to Low Priority** still works. If you edit a template that has formatting, such as bold or links, Newton asks before saving it as plain text. - Templates belong to your Newton account, not to one email account, so you can use them from any account. There are none for other folders or labels, and mail that Tidy Inbox moves to Low Priority arrives quietly. - On desktop, Newton has to be running. Closing the window keeps it running in the menu bar (Mac) or system tray (Windows and Linux); quitting stops notifications. - On your phone or Mac, you can turn notifications off for one account or change its sound. An account you switch off on your phone or Mac stays quiet there too. To silence Newton completely on Windows or Linux, use the system notification settings. - Only new mail in the Inbox sends a notification. There are no notifications for other folders. - These settings don't change notifications for read receipts, mentions or Recap. - On a shared team mailbox, each person chooses their own setting. They work even when Newton is closed. ### Steps #### iPhone & iPad 1. Touch and hold a new-mail notification from Newton. 2. Tap **Archive**, **Mark as read**, **Reply** or **Trash**. 3. For **Reply**, type your reply and tap **Send**. _Video: An iPhone Lock Screen at 10:24 with a Newton notification from Priya Raman, Q4 planning moved to Thursday. For **Reply**, type your reply in the notification and send it. ### Good to know - The notification goes away when you act on it, and Newton clears it from your other devices too. - Quick replies are plain: no quoted email, signature or attachments. Open the email to write a full reply. - For Gmail and Outlook, the button acts on the whole conversation. For IMAP accounts such as iCloud or Yahoo, it acts on that one email. - If an action fails, you'll get an **Action failed** notification. Tap it to open the conversation and try again. On your phone, opens, mentions and assignments arrive as notifications instead. - Opening Pulse marks everything in it as read. Read and dismissed items update on your other computers too. - Emails you send right away don't appear in Pulse; only scheduled ones do. - New items can also show up as a desktop notification. URL: https://newtonhq.com/help/notifications/not-getting-notifications Topic: Notifications Works on: Mac, Windows, Linux, iPhone, iPad, Android Last updated: 2026-10-25 Missing notifications usually come down to a system setting, an account that's switched off, or mail that didn't land in your Inbox. Work through these in order. ### Try these, in order 1. **Notifications are off for Newton on this device.** On your phone, open the menu, tap the **Settings** gear, then **Notifications**. If it says **Notifications are turned off**, tap it and allow them. On desktop, go to Settings › **General** and click **Send test**; if nothing appears, click **Open settings** and allow Newton. 2. **Focus or Do Not Disturb is on.** On iPhone and iPad, check that your current Focus allows Newton. On Mac, Windows and Android, check Do Not Disturb. 3. **The account is switched off.** On your phone, go to Settings › **Accounts** › the account › **Notifications**. On Mac, go to Settings › **Accounts** and select the account. Make sure **New emails** is on. Turning it off on one device turns it off everywhere. 4. **The email didn't arrive in your Inbox.** Newton only notifies for Inbox mail. Mail that Tidy Inbox puts in Low Priority, or that a filter or rule moves to another folder, arrives quietly. Check Low Priority, and add senders you want to hear from to **Always in Inbox**. 5. **Newton isn't running on your computer.** Desktop notifications only arrive while Newton is open and signed in. Closing the window is fine, because Newton keeps running in the menu bar or system tray, but quitting stops them. Some company networks and VPNs also block the connection Newton uses for desktop notifications. 6. **You're using Newton on your iPhone or iPad.** While Newton is open on screen, new mail shows up in your list instead of as a banner. 7. **Newton isn't getting the email at all.** If new mail doesn't appear in Newton either, the problem is syncing, not notifications. _Video: Newton's Notifications settings on iPhone when notifications are off: one row with a red bell, Notifications are turned off, Enable notifications in iOS Settings to receive new email alerts, and a chevron to tap._ ### Good to know - There are no notifications for folders or labels other than the Inbox. - Newton for Windows and Linux has no per-account switch. Use the system notification settings there. - Notifications for read receipts, mentions and Recap aren't affected by the **New emails** switch. On Windows and Linux the key is Ctrl, so Ctrl+K opens the command bar and Ctrl+F opens search. - Two shortcuts aren't in the list: ⌘, opens Settings, and ⌘Enter sends the email you're writing. - Shortcuts don't work while you're typing in a text box. Some only work in certain places: P and L in Recap, Shift+A in a team mailbox. - Many keys work like Gmail's, such as C, R, A, F, E, J, K, # and G then I. Open the **Settings** app on your iPhone or iPad. 2. Tap **Apps**, then **Default Apps**. 3. Tap **Email** and choose **Newton Mail**. Tap an email address link in any app. 2. When Android asks which app to use, choose **Newton Mail** and tap **Always**. If another app opens without asking, that app is set as the default. Clear its default in your phone's settings, then tap the link again. #### Desktop 1. Open Newton. Each time it starts, it makes itself the app for email links if it isn't already. 2. Click an email link on a web page or in another app. A Newton compose window opens with the address filled in. If links still open another app, choose Newton for email (mailto) links in your computer's default apps settings. ### Good to know - If the link includes a subject, CC, BCC or message text, Newton fills those in too. - On your phone, email links inside emails you read in Newton always open a new email in Newton. - On a computer, Newton makes itself the app for email links again every time it starts, even if you picked another app since. - On Android, you can also share text from another app to Newton to start a new email. The name matches your device, so it may say **Require Touch ID**, **Require fingerprint** or **Require passcode** instead. 4. Confirm with your face, fingerprint or passcode. 5. To give yourself a grace period, tap **Require unlock after** and choose **Immediately**, **After 1 minute**, **After 5 minutes** or **After 15 minutes**. Without one, Newton shows **Set a screen lock first** and can't turn the lock on. - If Face ID or your fingerprint doesn't work, you can unlock with your device passcode. - While the lock is on, Newton hides your mail when you switch apps, so it doesn't show in the app switcher. - The lock doesn't sync to your other devices, and there's no lock in Newton for Mac, Windows or Linux. You stay signed in, and your accounts, settings, signatures and templates come back on their own. Your inbox can look empty for a moment. - Newton on desktop checks for updates when it starts and every 4 hours. There's no button to check by hand. - If you installed Newton from the Snap Store or the Microsoft Store, that store updates it for you. Write with AI, Translate and Recap send text through Newton's servers to an AI model. The desktop Agent uses your own Claude account instead. ### How it works - **Write with AI** (desktop and mobile): when you send an instruction, Newton sends it with your draft, the subject, your recipients' names and addresses, your sender name and the conversation you're replying to. Your signature and attachments aren't sent. Rewriting a selected passage on desktop sends that passage, with the rest of the draft as context. - **Custom instructions** you save at [account.newtonhq.com](https://account.newtonhq.com) › **General** › **Custom instructions** are stored by Newton and sent with each Write with AI request. - **Translate** sends the text of that one email, without the earlier messages quoted in it, up to 4,000 characters. - **Recap** (Pro, off until you turn it on): once a day, Newton's servers look through your recent mail. For emails that might need a follow-up, they send the newest part of the email to an AI model, as plain text of up to 2,000 characters. Newton stores each Recap item's sender, subject, a short preview and the reason it's listed, and clears the subject and preview after you mark it Done. - **Agent** (desktop only): needs your own Claude Code, version 2.0.0 or later, signed in on your computer. Email the Agent reads is sent to Anthropic under your own Claude subscription. Your conversations are also saved to your Newton account so they sync, and they stay until you delete them. For Write with AI and Translate, Newton's servers don't keep your text or the AI's answer. They only record how often you used each feature. _Video: How Newton's AI features use your email. Top path, Write with AI, Translate and Recap: the Newton app, then Newton's servers, then the Vercel AI Gateway, then the AI model. Bottom path, Agent: Newton desktop, then your own Claude Code, then Anthropic. A dotted line labelled conversation copy runs from Newton desktop to your Newton account._ ### Good to know - Each AI feature can be used 200 times in 24 hours, on every plan. After that you'll see "Daily AI limit reached — try again tomorrow." - To stop Recap reading your mail, switch off **Show Recap** in Settings › Supercharge › Recap. - To delete Agent conversations, use **Delete all conversations** in the Agent's conversation list. - If you connect Claude or ChatGPT to Newton's MCP Server, that assistant can read and act on your mail. Work through these in order. ### Try these, in order 1. **Check Low Priority.** Tidy Inbox moves Gmail Promotions and Social, and Outlook's Other (Focused Inbox) mail, out of your Inbox into **Low Priority**. It's on by default for accounts added since September 10, 2026. Open **Low Priority** in the sidebar on desktop or in the menu on your phone. To bring a sender back, use **Move to Inbox**: right-click the email on desktop, or use the ••• menu in the email on your phone. To turn Tidy Inbox off for an account, go to Settings › **Supercharge** › **Tidy Inbox**. 2. **Check your filters.** Gmail filters and Outlook rules can archive or label mail before it reaches your Inbox, even while Newton is closed. On desktop, go to Settings › **Accounts**, pick the account, then **Automation** › **Manage Filters**. Filters you made in Gmail or Outlook count too. 3. **Give the first sync time.** After you add an account, and after every app update, Newton downloads your most recent mail first. For older mail, click **Load older emails** at the bottom of the list on desktop, or keep scrolling down on your phone. 4. **Look under the account.** Labels, folders, and Gmail's Promotions and Social appear under each account, not in the combined Inbox. If your Inbox says **Hidden from Unified Inbox**, that account is left out: turn on **Show in Unified Inbox** in its settings. 5. **Check Snooze.** Snoozed email stays out of your Inbox until its time. Open **Snooze** to see it. 6. **Check for a second Newton account.** If the same mailbox is also linked to another Newton account, it can stop syncing in one of them. Check which Newton account you're signed in to at the top of Settings, and contact us if you think a mailbox is linked to two. 7. **Update Newton.** Recent versions fixed missing mail in some Outlook and Microsoft 365 folders. _Video: Newton desktop with Low Priority highlighted in the sidebar and its list of newsletters and promotions open. Right-clicking an email from Greenway PTA opens the menu: Archive, Move to Inbox, Delete, Star, Mark as read, Snooze, Move to, Reply, Reply all and Forward, with Move to Inbox highlighted_ ### Good to know - Tidy Inbox never deletes mail and changes nothing in Gmail. In Outlook, it saves your choice for that sender, so Outlook on the web matches. - Filters work for Gmail and Outlook accounts, not IMAP. - Snoozing only hides an email in Newton. Gmail and Outlook on the web still show it in the Inbox. If nothing new is showing up, try these. ### Try these, in order 1. **Check now.** On your phone, pull down on the email list. On desktop, press ⌘K on Mac, or Ctrl+K on Windows and Linux, and choose **Sync emails**. You can also choose **Check for new mail** from the Newton icon in the menu bar (Mac) or system tray (Windows and Linux). 2. **Sign in again if Newton asks.** **Your session has expired** means your Newton sign-in ended: sign in again. On desktop, **This account is out of sync**, or **Authentication Required** in Settings › Accounts, means one email account needs reconnecting: click **Sign in again** or **Re-authenticate**. 3. **Check automatic checking on desktop.** Press ⌘K (Ctrl+K), choose **Sync & Data Info**, and make sure **Auto-check for new emails** is on. Set **Check interval** to anything from every 30 seconds to every 5 minutes. 4. **On iPhone, open Newton after force-quitting it.** If you swipe Newton away in the app switcher, iOS stops refreshing it in the background until you open it again. Also check that Background App Refresh is on for Newton in the iPhone Settings app. 5. **Keep Newton running on desktop.** Closing the window keeps Newton running and checking for mail. Quitting it stops checking. 6. **Update Newton.** Fixes for syncing ship in new versions. 7. **Still stuck?** Run a full sync. _Video: Newton desktop showing the Sync and Data screen. In the Real-time Sync section, Auto-check for new emails is switched on and Check interval is set to Every minute, both highlighted, with the note Real-time sync is active. Checking every 60 seconds._ ### Good to know - Instant delivery covers the Inbox. Other folders update at the next check. - A new IMAP account starts getting new Inbox mail instantly about 2 minutes after you add it. - While the app is open, the phone apps check for mail every minute. In the background, iOS lets Newton refresh about every 15 minutes at most. If an email really didn't go out, Newton keeps it in Scheduled, marked as failed, so you can send it again. ### Try these, in order 1. **Wait for the undo delay.** After you press Send, Newton holds the email for 5 seconds by default so you can undo it. On desktop you'll see **Sending (5s)…**. To change the delay, go to Settings › **General** › **Undo send delay** and choose Off, 5, 10 or 30 seconds. Closing Newton during the delay doesn't stop the email. 2. **Look in Scheduled.** Open **Sent** and click or tap **… scheduled** at the top. Scheduled emails, and emails that failed, wait there. 3. **Send a failed email again.** A failed email shows **Send failed** on desktop or **Couldn't send** on your phone. Use **Send now** to try again. If it says **Reauth required**, reconnect the account first. 4. **Check your connection.** Sending needs an internet connection, and Newton has no outbox. If Newton couldn't hand your email over, it opens the email again so you can resend it. 5. **For IMAP accounts, check the outgoing server.** Use port **465** with **SSL/TLS**, or port **587** with **STARTTLS**, whichever your provider lists. iCloud uses 587 with STARTTLS. Many providers also need an app password. To change these settings, add the account again with the same email address and the corrected outgoing server. _Video: Newton on iPhone: Sent, Scheduled lists a Failed group whose email shows Couldn't send in red; tapping it opens the email with a Couldn't send bar, a Send now button and a three-dot menu with Edit and Delete, with Send now highlighted_ ### Good to know - Newton sends from its server, so a scheduled email goes out even when your devices are off. - Newton sends each email at most once. If it can't tell whether an email went out, it asks you to check your Sent folder instead of sending it twice. - When a scheduled email fails, Newton notifies you. On desktop it also appears in Pulse. Create an app password with your provider and paste it into the password field. 2. **Pick your provider.** Choose iCloud Mail, Yahoo Mail, Fastmail, Zoho Mail, AOL Mail or GMX instead of Custom, and Newton fills in the server settings for you. 3. **Check the username.** It's usually your full email address. Change it only if your provider uses a different one: under **Server settings** on desktop, or in **Username (if different from email)** on your phone. 4. **Check the server settings.** Open **Server settings** and compare them with your provider's help page: - Incoming (IMAP): port 993 with **SSL/TLS**, or 143 with **STARTTLS**. - Outgoing (SMTP): port 465 with **SSL/TLS**, or 587 with **STARTTLS**. 5. **Turn on IMAP with your provider.** Some providers, such as Zoho, need IMAP access switched on in their own settings first. 6. **Use the right option for Gmail and Outlook.** For Gmail, Google Workspace, [Outlook.com](http://Outlook.com) and Microsoft 365, choose Google, Outlook or Microsoft 365 instead of IMAP. On desktop, click **Test connection** before **Connect**. **Connected — … folders found** means your incoming settings work. _Video: Newton's Connect via IMAP form on desktop with Server settings open: Test connection first fails with Could not reach the server. Check host, port, and security; Security is changed from STARTTLS to SSL/TLS, the port follows to 993, and Test connection then shows Connected, 12 folders found, with the Port and Security and the SMTP port and SMTP security fields highlighted_ ### Good to know - Test connection checks your incoming server only. A wrong outgoing setting shows up the first time you send. - You can add IMAP accounts in the desktop and phone apps, but not at [account.newtonhq.com](http://account.newtonhq.com). - Newton doesn't support POP. - Newton marks the **None** security option "not recommended". Use it only if your provider tells you to. If you can't find an email you know is there, try these. ### Try these, in order 1. **Check your connection.** Search doesn't work offline. On your phone, **Couldn't reach the server. Check your connection.** means Newton couldn't reach the server. 2. **Clear search filters.** On desktop, check the chips under the search box, such as an account, **From**, a date, **Has file** or **Unread**, and click **Clear filters**. On your phone, turn off any of **Unread**, **Starred**, **Attachments** or **Last 7 days**. 3. **Outlook: search covers the Inbox only.** Newton can't search other Outlook folders yet. Open the folder in Newton, or search in Outlook on the web. 4. **Gmail: Trash and Spam aren't searched.** Add **in:trash** or **in:spam** to your search to look there. 5. **IMAP: keep searches simple.** IMAP servers understand fewer search operators, so plain words and **from:** work best. On your phone, Newton searches up to 10 folders of an IMAP account for up to 8 seconds; add **in:** and a folder name to search one folder, or search on desktop, which goes further. 6. **Sign in again if asked.** **Sign in again to search this account** means that account needs reconnecting. If you see **Some results may be missing** (desktop) or **Some accounts couldn't be searched** (phone), one account wasn't fully searched. Try again in a moment. _Video: Newton desktop search for invoice has:attachment after:2026/09/25, with the Since 2026/09/25 and Has file chips switched on under the search box. Below them the line Some results may be missing, alex@outlook.com couldn’t be fully searched is highlighted, then the Clear filters button under No results_ ### Good to know - On your phone, search always covers every account. On desktop, you can pick **All accounts** or one account. - Put - in front of a word to leave it out, and use quotes for an exact phrase. - The full list of search operators works on Gmail. Outlook and IMAP support fewer. Start by checking which one you're seeing. ### Try these, in order 1. **Check what Newton is asking for.** **Your session has expired** means your Newton sign-in ended: click **Sign in again**. **This account is out of sync**, or **Authentication Required** in Settings › Accounts, means one email account needs reconnecting. That's usually because its password changed or its access was removed in Google or Microsoft. 2. **Did you reset your password?** Resetting your Newton password signs you out on every device. Sign in again with the new one. 3. **Has it been a month?** Each device stays signed in for 30 days from when you signed in, then asks you to sign in again. 4. **Sign in the way you signed up.** If you created your account with Google, Microsoft or Apple, use that button. Signing in with an email and password instead shows **This account uses Google, Microsoft or Apple Sign-In. Please use that button to sign in.** 5. **On Linux, set up a keyring.** Newton keeps your sign-in in your system keyring, such as GNOME Keyring or KWallet. Without one, Newton shows **Secure Storage Unavailable** and asks you to sign in after every restart. Install or unlock a keyring, then sign in once more. If you use the Snap, update Newton first: a fix for Snap sign-ins has shipped. 6. **Still happening?** Send us your logs so we can look. _Video: Newton desktop inbox with a red banner across the top of the window: Your session has expired. Mail can’t sync or send until you sign in again. The Sign in again button at the end of the banner is highlighted and clicked_ ### Good to know - Signing in again doesn't remove anything. Your email accounts and settings come back from your Newton account. - Changing your password, rather than resetting it, doesn't sign out your other devices. - Sign in with Apple isn't offered in the Android app. Related: [Reset or change your Newton password](https://newtonhq.com/help/account-privacy/reset-or-change-your-newton-password), [Get help: chat, logs and bug reports](https://newtonhq.com/help/troubleshooting/get-help-chat-logs-and-bug-reports) ## Windows won't install Newton URL: https://newtonhq.com/help/troubleshooting/windows-wont-install-newton Topic: Troubleshooting Works on: Windows Last updated: 2026-10-25 Windows sometimes blocks the Newton installer because it doesn't recognize the app yet. You can tell Windows to run it anyway, or install Newton from the Microsoft Store instead. ### Try these, in order 1. **Keep the download.** If your browser warns you about the file, choose to keep it. 2. **Run it anyway.** If Windows shows **Windows protected your PC**, click **More info**, then **Run anyway**. 3. **Install from the Microsoft Store.** If there's no **Run anyway** button, or your computer only allows apps from the Store, get [Newton from the Microsoft Store](https://apps.microsoft.com/detail/9PP5BS53RCSC). 4. **Ask your IT team.** Work computers can block apps that IT hasn't approved. Microsoft Defender SmartScreen prevented an unrecognized app from starting. Clicking More info shows App: Newton-Setup-10.0.326.exe and Publisher: Unknown publisher, and adds a Run anyway button next to Don't run; Run anyway is highlighted_ ### Good to know - The Microsoft Store version is updated by the Store. The installer version updates itself and tells you when a new version is ready. - The installer lets you choose where to install Newton. - Closing the Newton window keeps it running in the system tray.
